The administrative assistant will not only assist in the day-to-day functioning of the office, but will be the point of contact for client care and communication ensuring they have an exceptional experience with our team.
The Administrative Assistant will play a crucial role in ensuring the smooth operation of our practice. This position is ideal for someone who is enthusiastic about mental health and committed to creating an exceptional experience for every client.
Key Responsibilities
- Client Communication: Serve as the primary point of contact for clients, responding to inquiries, providing information about services, and offering compassionate support.
- Client Scheduling: Manage appointment bookings, cancellations, and rescheduling to ensure optimal therapist-client engagement.
- Billing and Payment Processing: Handle invoicing, billing inquiries, and payment processing with attention to detail, ensuring accuracy and confidentiality.
- Insurance Verification: Verify client insurance coverage and benefits prior to appointments to ensure eligibility for services.
- Claims Handling: Prepare and submit insurance claims, follow up on outstanding claims, and resolve any discrepancies with insurance providers.
- Administrative Support: Assist with general office tasks, including filing, data entry and tracking, and maintaining organized client records in compliance with confidentiality standards. Create new and update current client charts in our EHR software. Reviewing Client charts to verify paperwork and chart completion before first session.
- Collaborative Teamwork: Work closely with our therapists and other staff members to streamline office operations and enhance the overall client experience.
- Continuous Improvement: Contribute to the development of office procedures and practices to improve efficiency and client satisfaction.
Minimum Qualifications
- Associate's Degree or above
- Eligible to work in the United States
- High degree of professionalism and ethics
- Excellent time management skills and Ability to prioritize tasks
- Excellent communication and interpersonal skills, with a customer service mindset.
- Proficient in G-Suite (Google Sheets, Docs, etc), Microsoft Suite and comfortable using VOIP technology
- Ability to handle sensitive information with confidentiality and professionalism.
- Applicant must pass a background check
Preferred Qualifications:
- Previous administrative experience, preferably in a healthcare or counseling setting.
- Experience with insurance verification and claims processing is highly desirable.
- Previous training in HIPAA preferred
